Professional Planning & Concierge Fee Policy

At Wanderlust Amigas Travel, we specialize in designing highly personalized international travel experiences. Complex itineraries require extensive research, supplier coordination, and itinerary management to ensure a seamless experience.

To provide the highest level of service, a professional planning fee applies to all custom international trips.

Planning Fee Structure

For trips, we charge a minimum non-refundable retainer of $200.00 per person.

Our professional planning services are billed at $50 per hour. A minimum planning retainer is required before itinerary development begins.

Typical planning time ranges from 8–12 hours for a 5-7 day international trip with 1 destination.

To provide clarity and transparency, Wanderlust Amigas Travel offers three levels of itinerary-planning services, depending on the trip's complexity.

Service Tiers

Essential International Planning

Starting at $400 (minimum 8 hours)

Best suited for trips with 1 destinations and standard logistics.

Includes:

• Destination research and itinerary design
• Hotel and accommodation recommendations
• Transportation planning (flights, trains, ferries, transfers)
• Activity and excursion planning
• Price comparisons and itinerary optimization
• Creation of a customized travel itinerary
• Booking management and confirmation review

Complex International Planning

$1,000 – $2,000 planning retainer

Best suited for trips involving multiple countries, extended travel, or more complex logistics.

Examples include:

• 3+ destinations or countries
• Trips longer than 10 days
• Multi-family or small group travel
• Complex flight or transportation routing
• Special event travel or milestone celebrations
• Customized experiences requiring additional supplier coordination

The final retainer will be determined after reviewing the client’s travel request.

VIP Concierge Travel Planning

Starting at $2,500

This service is designed for travelers seeking a fully curated, concierge-style travel experience.

Includes all services listed above, plus extended travel support such as:

• Restaurant reservations
• Spa appointments
• Beach clubs or day passes
• Private guides and VIP experiences
• Event tickets
• Custom celebration planning
• Detailed daily itinerary coordination
• Ongoing trip support prior to departure

Additional concierge requests beyond the initial planning scope may be billed at $100 per hour.

Trip Investment Minimum

To ensure we can provide the level of service and expertise expected for custom international travel, our itineraries typically require a minimum trip investment of $3,000 per itinerary (excluding flights).

This allows us to work with trusted partners, boutique accommodations, and premium travel experiences that meet our quality standards.

Complex Itineraries

Trips that involve any of the following may require additional planning hours or a higher planning retainer:

• 3+ destinations or countries
• Trips longer than 10 days
• Multi-family or group travel
• Complex logistics involving multiple transportation methods
• Special event travel or milestone trips
• Customized luxury experiences

If your itinerary falls into this category, a revised planning retainer will be quoted prior to beginning work.

Concierge Travel Services (Optional)

Clients may request additional concierge travel services beyond itinerary planning. These services may include:

• Restaurant reservations
• Spa appointments
• Beach clubs or day passes
• Private guides
• Event tickets
• Custom celebration planning
• Last-minute itinerary adjustments during travel

These services are billed separately at $100 per hour if they exceed the original planning scope.

Clients are welcome to manage these arrangements independently if preferred.

Payment Structure

• The planning retainer must be paid before itinerary research and design begins.
• Planning hours are applied toward itinerary development.
• Additional hours, if required, will be discussed and approved prior to billing.

All professional planning fees are non-refundable.

Scope of Planning

The professional planning fee covers the research, design, and coordination required to develop a customized travel itinerary based on the information provided in the client intake form and consultation.

Services included within the scope of planning may include:

• Destination research and recommendations
• Hotel and accommodation sourcing
• Transportation planning (flights, trains, ferries, and transfers)
• Activity and excursion recommendations
• Supplier coordination and pricing verification
• Creation of a customized itinerary outline
• Booking management and confirmation review

The planning process is based on the trip details initially provided by the client, including destination preferences, travel dates, budget range, and travel style.

If a client requests significant changes to the original trip concept, such as:

• Adding new destinations or countries
• Changing travel dates after itinerary development begins
• Rebuilding the itinerary with a different travel style or budget
• Adding additional travelers or converting the trip to a group
• Requesting extensive new research outside the original scope

These requests may require additional planning hours billed at the standard planning rate of $100 per hour.

Clients will be notified before additional planning work begins.

Itinerary Revision Limits

To ensure an efficient and productive planning process, Wanderlust Amigas Travel includes two rounds of itinerary revisions within the professional planning fee.

A revision may include adjustments such as:

• Hotel preference changes
• Activity substitutions
• Minor routing adjustments
• Refinement of suggested experiences

Additional revisions beyond the two included rounds may be billed at $100 per hour, depending on the amount of additional research and itinerary modification required.

Requests that significantly alter the structure of the trip (such as adding destinations, changing countries, or extending the itinerary) may be considered a new itinerary request and may require an additional planning retainer.

Our goal is to work collaboratively with clients to refine their travel plans while maintaining a structured planning process that allows us to provide the highest level of service.
